I bet you'd be pleasently surprised how people would be willing to step up, especially after this awesome experience. We can understand the need to break even, or at least not lose so much, if you're honest with us.
Plan to hold live conferences to discuss game mechanics (I really love that this happened) and whatnot and people will come out of the woodwork to put in their two hundred thousand cents.
Honestly, we don't even need to break even. I just want to lose less money than this time. (Haven't yet figured out how much we lost, but it's over 10 grand.)
Agree, snacks and drinks being free is unnecessary while appreciated, when the venue itself looks so awesome. If it's held next year, there's no way I'd miss it and I know plenty of other people that have been enticed so I'm sure you'll be able to almost break even if nothing else?

Snacks and drinks actually were not that big of an expense. Less than 10% of the cost of the event.
The deal for under 21s is that you can't drink alcohol. If you do, best keep an eye out because I am very good at DeathFromAbove and there are some nice tall palm trees on the estate.
Yeah, there is no practical way for us to charge people by the drink anyway, unless we hired a bartender/caterer and that just raises the cost of the event more. Not necessary in any case. We can provide booze/snacks.
And wow, that much money for the event? Well, I hope you think of something, because it did really look like a blast.
I'm not going to answer that except to say that it's not my responsibility to bloodtest you and see what you've been up to before you arrived at the estate.
@Sarapis I'm sure most of the other guys who were there would back me up in saying it would still be well worth the price at 150-200% of what we paid this year.
Only downside is that would suck (more) for people who buy tickets and can't resell them if they later found out they couldn't make it. Maybe that won't be such an issue with more people seeming to be interested for next year.
I think quite a few people just didn't bother with nametags on Saturday. I know for @Aldeberan and I, we just found them a bit clunky and what with changing for the pool or going out to meals they were just out of place/in the way.
I know a few event planners, promoters, and other relevant-occupation people that may organize said event in place of advertising something there (table/booth with flyers maybe? or having a large banner somewhere) and/or a very (very) small fee.
Austin, Texas would be a good place to have it imo. Cheaper to host, more suitable for all people, -and- I know way too many lawyers in Texas in case people get themselves into trouble. Also, I'm on the approved list to get into Travis County Jail (and then leave again) @Sarapis@Tecton
No casinos to gamble in, but there are other ways to get your fix.
My husband and I would have loved to have gone but because we have two young kids it makes it hard to plan to go anywhere. Maybe if the little one is fully potty trained and is okay staying with the in-laws, but as it stands, can't plan that far ahead

From my experience with PR/events stuff - the first thing, honestly, I'd look at is a change of venue @Sarapis. I know it can be a bummer to have to "lower the bar" but picking a location more central in the US would not only make it so more people could get there easier but it would likely lower the cost. Not even more central but looking into places like Texas or Orlando could drastically cut the overhead while still providing some excellent fun.
As a long time player I know that Vegas is like "our place" for god meets etc. but it also happens to be definitely way more on the expensive side - its also very unfriendly for anyone under 21, which even though a lot of our player base (based on that poll someone ran a bit ago) it pretty much looking 20+ at this point and less in the teens then when I was a teen it would make sense to do it somewhere where the 18-20 year old crowd could at least go out with everyone else instead of being pushed aside when it comes to outside of the venue itself socializing.
